So You're Going to be Hosting an Event at Headley House?
Welcome to Headley House!
You've reserved the space for your event and now need to begin planning the logistics; please refer to the Event Planning Checklist points below, as a guide to ensure that you've made all the necessary arrangements to make your event a success:
Your Reservation Confirmation:
- Because most reservations are made months in advance and changes have occurred in the meanwhile, please review your Event Confirmation and contact Charlene Hamblin with any adjustments or changes that may have been made since your initial booking.
Publicity for Your Event:
- Place your event on the Campus Calendar for appropriate publicity.
Space Arrangements for Your Event:
- Call Charlene Hamblin (X4192) to discuss arrangement possibilities within the House. To view a standard lay-out of the first floor, click here.
- Once this is determined, if necessary you will need complete a Facilities Set-up Request Form to arrange for delivery of tables, moving of existing furniture, and set-up.
- Email a copy of this form to the appropriate people, as named on the form. *Forms should be submitted at least 10 days prior to the event.
Food/Alcohol for Your Event: Only food from Carleton's Catering Services, or prepared food (purchased either from a restaurant or grocer), are allowed to be served to guests at Headley House. *Home-made food items are not allowed for service at the House. With this in mind, begin your menu planning by doing the following:
- Contact Catering Services to notify them of your event date and arrange the your menu, or
- Contact a restaurant regarding your catering needs. If your meal will be catered, you will also need to provide the appropriate service/tableware as this is not provided at the House. *Keep in mind that if you choose to secure your menu through an off-campus caterer, you (or a designated contact) will need to be present at the House to let the food provider into the House.
- Planning to serve alcohol at your event? Catering Services can assist you with this, as well. Just discuss your needs with them at the time you arrange your food and they will plan for your event, accordingly.
Audio/Visual Needs for Your Event:
- Contact PEPS (x7070) to request any A/V needs for your event (projector, screen, laptop, etc.) *Also be sure that you have noted these needs on your Facilities Set-up Request Form.
Picking-up the House Key Prior to Your Event:
- Plan to pick up the key to the House a few days prior to your event; please contact me to make arrangements.
Following Your Event.......
- Please be sure to lock the door to the House before leaving, then return the key to Willis 213.
