Administrative Assistant, Office of Intercultural & International Life

Carleton College welcomes applications for Administrative Assistant in the Office of Intercultural and International Life (OIIL). The OIIL Administrative Assistant is a part-time (.93) FTE, regular, non-exempt, benefit-eligible staff position. The work schedule for this position is 37 hours per week with some evenings and weekends required.
Purpose of this Position:
The OIIL, Administrative Assistant supports the Office of Intercultural and International Life with most responsibilities focused on the international component. The job is complex and involves a wide variety of diverse tasks associated with the International sectors of the office as well as the overall needs of the Office of Intercultural & International Life. The OIIL Administrative Assistant works closely with the Associate Director of OIIL but reports to the Director of the Office of Intercultural and International Life.
Responsibilities:
Essential Responsibilities:
- Serve as a liaison between International students and underrepresented students with other campus departments and/or organizations outside of the College to solve a wide variety of issues including but not limited to questions about taxes, travel, housing policies& procedures and refer them to appropriate resources that will enhance the academic, social, career and personal growth.
- Assist with the documentation and reporting of taxable purchases.
- Serve as the primary contact for tax compliance software for completion of taxes by international students, visiting international faculty, alumni, and foreign language associates.
- Assist international population in obtaining social security numbers so they can participate in the College's work-(study) program.
- Administers the STARR Grant travel expenses and reconciles three (3) departmental budgets.
- Assist international students with housing for each fall term and break periods.
- Compose correspondence, updates and contributes to numerous annual letters and publications.
- Assists with student programming logistics.
- Responsible for purchasing student insurance and other department purchases.
- Responsible for assisting with the maintenance and organization of the Office of Intercultural and International Life.
Other Responsibilities:
- Maintains web pages and assists with advertising.
- Assist with the Host Family and Ambassador programs.
- Supervise student workers.
Minimum Qualifications:
- 2-3 years of extensive experience working with International and/or underrepresented students.
- 2-3 years of recent knowledge of immigration policies and systems (SEVIS).
- High level of confidentiality required.
- Excellent customer service, interpersonal, and communication skills (oral and written).
- Strong organizational and time management skills.
- Must be detail oriented.
- Strong, demonstrated computer skills including Microsoft Office Word, Excel, Publisher, internet navigation.
- Ability to multi-task and prioritize work requirements.
- Ability to produce quality work regardless of frequent interruptions and within a high traffic area.
