  • Timecard Training Session for SAC Members

    Attention all Staff At Carleton (SAC) members, plan to attend a timesheet training session scheduled for:

    • Thursday, November 18
    • 1:30 to 2:30 p.m.
    • Alumni Guest House Meeting Room

    At this meeting, Barbara Harden, Julie Vossen, and Beverlee DeCoux from the Business Office, and staff from the Human Resources Office, will walk us through common types of timesheet completion problems. They will also answer any questions we have about timesheet completion. SAC has heard a lot of concerns and issues regarding this subject—this will be an opportunity to have Payroll’s undivided attention. We would like to see great representation at this long-awaited session. Please read on for the questions collected to date.

    Payroll Questions for Fall 2004 Training Session (in no particular order)

    • Can a bi-weekly employee take time off without pay? If so, how or will it affect his/her benefits?
    • How do election judges document their time away from work? Explain the new “civic duty” code.
    • How does one accurately document funeral leave (e.g., indicate if deceased is mother, grandfather, co-worker, etc.)?
    • How does one record SAC Meetings, SAC Luncheons, SAC committee member’s meetings?
    • How does one document working more than eight hours in one day?
      e.g,. Jane Doe works a 35-hour work week. She works 9.25 hours on Friday due to leaving early on Tuesday and Wednesday. Should the 9.25 hours be recorded in the Regular Work column or should only 8.0 hours be recorded there, and 1.25 hours recorded in the Extra at Regular Pay for Friday?
    • How does one record LifeStyles Program time (initial two, one-hour consultations)?
    • Could there be a Supervisor’s Handbook or FAQ on the HR Web site for timesheet instructions and examples?
    • In regard to vacation hours taken, if one wanted to take a full week’s vacation in July, but his/her accrual wasn’t that high, how would one mark that on their timesheet? Are exempt staff held to the same standard? If a week is taken in July, but accrual isn’t at that level yet, do they take days unpaid?
    • Where does one find out how to handle Jury Duty? Not only the timesheet completion portion, but the pay received for this duty? Will this information be included in the Staff Handbook?
    • If we are unsure of how to document something, who should be our first point of contact?
    • When we are lucky enough to receive an extra “holiday” from the President (such as an extra day around Christmas or the 4th of July), how do we document this extra day.
    • If I were to go to a conference that ran from Thursday through Saturday in Washington, DC, how would I record that on my timesheet? Would I receive overtime pay for my Saturday work? Would I only receive 8 hours of pay on Saturday, even if events were going longer than that? How about the time I travel on the airplane back from D.C. on Saturday night?
    • How do we find out what our balances are on the lesser-used types of time off, such as:
      * adult child, parent, spouse, domestic partner sick leave;
      * funeral leaves: immediate family, extended family, or co-worker friend;
      * any others like this.
    • Please explain the College’s policy for handling timesheet questions. Who does the Timesheet Specialist call, if a change is made? Is a copy of the timesheet sent out to the employee, etc.?
    • What should I do if the supervisor is unable to sign the timesheet in a timely manner? (i.e. out of town, sick day, just not in the office)
    • Do supervisors authorizing our timesheets receive training? Does the Payroll Office provide new employees and new supervisors with information on how a timesheet is to be completed?
    • Please explain how paid leaves, such as holidays, funeral leave, etc. are calculated.

  • Parking Lot Construction North of Leighton Hall

    Two stalls marked temporary handicapped parking immediately north of Leighton will be converted to permanent handicapped parking stalls. This will require extending the curb and pavement five feet westward. Curb removal and replacement will begin on Monday, November 15. This work will take approximately two days. Depending upon weather, the extended parking area will be paved as soon as possible.

    ITS has online learning available for faculty/staff thru Element K, a national training organization. An online learning account can be opened at no cost to you. This is a great opportunity to have training for many of the applications you use. Those that have used the online accounts this past year have found them very helpful. To obtain an online learning account, please contact your computing coordinator who can create an account for you.

  • Winter Term Forecast of Events

    If you have planned any on-campus events for Winter Term that you would like to have publicized in the Term Forecast of Events, please submit the information in writing by Friday, December 10, to Winter Term Forecast, c/o Campus Activities, F - CAMPUS. Please be sure to include the following information: name of the sponsoring department or office; contact name and extension; and name, date, time, and place of the event. (Campus Activities reserves the right to edit all materials submitted.) Copies of the Term Forecast will be mailed to each office and department for general posting, will be posted to the Campus Activities Web site as a PDF file for individuals to print as desired, and a supply of printed copies will be available in the Campus Activities Office for campus visitors.   • Off-Campus Studies Statistics

    It’s that time of year again! The Off-Campus Studies staff has prepared a list of all the students who studied off-campus during the previous year and compiled useful information about them in various categories. Please read on for some interesting statistics.

    Off-campus studies are an integral part of the educational experience for a majority of Carleton students. We have examined the four-year history of participation in off-campus studies for the Class of 2004. Sixty-eight percent of the entire class studied off-campus, thanks in part to the winter-break field research programs. Nine departments saw 100% of their majors study off-campus, and over 70% of majors in eleven other departments earned credit off-campus. Europe continues to be the most popular destination with a 50% rate of participation among Carleton students. Compared with participation rates in 2002-2003, the percentage of students studying in Africa rose by 8% and in domestic programs in North America by 6%. Participation declined in programs in Asia by 13%, in Latin America by 8%, and in Australia/Oceania by 2%. In 2003-2004, thirteen Carleton faculty members directed programs off-campus.

  • Currently Schedule for Winter Break

    The Fall Term is nearing an end, with Winter break soon upon us. Currently’s weekly schedule will end with next Monday’s issue, and over break will be produced on a bi-weekly basis with notices mailed to you on the following dates:

    • Monday, December 6;
    • Monday, December 20.

    Please send all news articles to currently@lists.carleton.edu so each of the four editors receives a copy. And, please submit each article as a word document, without any special formatting, attached to your e-mail rather than in the body of your e-mail. Deadlines for submission of articles are by 4:30 p.m. on the following dates:

    • Wednesday, December 1;
    • Wednesday, December 16.

    Weekly publication resumes with the January 3 issue, with a submission deadline on Wednesday, December 29.

  • Annual Craft and Bake Sale

    The annual craft and bake sale will be held on Friday, December 3 from 9:30 a.m. to 2:30 p.m. in Great Space. If you are interested in selling craft items, please contact Loretta Springer at x4186 or lspringe@acs.carleton.edu. The custodial staff will be selling baked goods with proceeds to be added to the custodial scholarship fund. For this event, crafts of all types will be accepted, but only baked goods contributed by the custodians will be for sale.
