The Program Director (PD) position is an exciting leadership opportunity for students to share their passion about a specific issue area of interest. One or more student leaders organize all aspects of their volunteer program and serve as a vital link between a community agency and Carleton. CCCE programs are truly student-run, so it’s crucial to have energetic, responsible, and committed Program Directors. The CCCE program staff wants student leaders to be innovative as they develop their program, but there are also some guidelines the CCCE needs every PD to follow. These expectations are listed below.

Expectations

Recruiting

  • Participate in the Activity Fair and do additional publicity as needed
  • Follow up with every potential volunteer who expresses an interest in your program (includes people who contact you directly and those who are referred by the CCCE staff) 

Orientation & Training

  • Attendance at Fall Program Director Training is mandatory for those on campus
  • Participate in other training sessions and meetings throughout the year, including potential retreats
  • Conduct training and/or orientation sessions for your program volunteers 

Thoughtful Action & Communication

  • Keep your assigned Fellow informed about the status of your program by responding to all emails and other communication
  • Inform CCCE staff about your program’s special events, interest meetings, and training
  • Notify your volunteers of CCCE events and information 

Records

  • Keep good notes about your program so there will be information for future PDs
  • Record volunteers’ civic engagement hours and submit information to the CCCE at the end of each term
  • Be involved in the PD recruiting process for the next year (an application needs to be completed and submitted to the CCCE for approval)
  • In spring, submit an update about your program to your Fellow. 

Evaluation

  • Solicit feedback from your volunteers, then share your findings with the CCCE (generally via meetings with your assigned Fellow)
  • Complete a program evaluation (the CCCE will also send an evaluation form to your community partner each spring term)
  • Celebrate your program’s volunteers at the end of each term by thanking them (food, cards, etc.) Thank your community partner at the end of the academic year

Community Voice

  • Meet with your community partner at least once each term to discuss your program
  • Continually assess your program’s success in meeting community needs
  • Follow up with any service requests from community members or CCCE staff 

Reflection and Public Education

  • Provide ongoing support to your volunteers
  • Organize at least one method of reflection per term for your volunteers (educational articles, group dialogue, etc.); CCCE Fellows are available for assistance and co-facilitation              

Organization

  • Coordinate the logistics of the program, including but not limited to: transportation, room reservations, publicity

Public Education

  • Educate participants about the greater context of the program
  • Advocate for the larger issue your program is addressing
