June 13, 2013

Review Minutes of May 23, 2013 meeting

Minutes were approved from the May 23, 2013 meeting.

 ITS updates:

 Timing of Colleague makeover/migration project.  The original plan had been to go live this summer, but now we know that goal will not be met.  Les and his team are paying attention to how long tasks take and determining, with confidence, what would be a realistic go-live date.   In working through this, the Colleague Steering Committee has come up with two options.

 1. Going live November 2013 over Thanksgiving weekend; or

2.  Taking more time and being realistic to pent-up requests and a have later go-live date. 

The November date is not quite enough time to get everything done.   In thinking through this the team came up with a list of things to do after the go live date.  Janet provided the committee with a list of those items, and potential risks (staffing changes, performance problems, vacations) with a cutover for these items to be completed by July 2014.  The plan this summer is to do testing in July-August with some Business Office processes and performance testing in October with lots of users on the system.  Final testing will be done in October after which the team will formally make a decision about meeting the November goal.

The migration team has worked hard to look under “all the rocks”, be clear about the remaining tasks, and trying hard to achieve the November date.

The Colleague Steering Committee is recommending moving forward with this plan.  After discussion, this committee supported their recommendation.  

External Relations update:  Julie and team are working with Richard Goerwitz to get Advance data into the data warehouse.  Demographic data is in the warehouse in test and Jim Fergerson is already seeing how this will save him a great deal of time on reporting.  Other portions of their larger “Business Intelligence Project” include the testing of Web Helpdesk as a ticketing system for the Alumni/Development Systems team and a training program.

Registrar/DOC administration technology presentation:

Roger Lasley gave us an overview of the technology used in the Dean of the College Divison.  He focused on three main areas; Dean of College, Off-Campus Studies, and Registrar.

Dean of the College office uses: Advance, Colleague, Data Warehouse, Identity Finder, Moodle, OnBase, and People Admin

Off-Campus Studies uses:  Advance, Colleague, Moodle, OnBase, Study Abroad

Registrar Office uses:  Advance, Colleague, Data Warehouse eSCRIP-SAFE, Identify Finder, National Student Clearinghouse, OnBase, SSRS –SQL reporting services

Next month Jim Fergerson will present on Institutional Research and Assessment and President’s Office technology.
