Review Minutes from January 17, 2013:

The minutes from the January 17, 2013 meeting were approved.

ITS staffing update:

An offer was extended for the Application Support Programmer position, but it was declined.  The search committee will reconvene next Monday to determine next steps and continue the process.  We will wait for our new CTO, Janet Scannell, to arrive in April then determine how to move forward with providing academic support and filling several open positions (Chad Miller, Fiona MacNeill) along with two positions in the PEPS area next fall.

Facilities Technology Presentation:

Steve Spehn and Denise Gillen joined our meeting to give us an overview of the portfolio of technology programs the Facilities Division uses.

Workorderama –Maintenance and Work Order Tracking

·         Installed in 2001, averages approximately 17,000 work orders per year

·         Converts work requests to work orders, track labor hours and materials, maintain storeroom inventory, schedule preventative maintenance, generate reports

·         Future – purchase iPads or iPad minis for maintenance staff by end of 2013, upgrade to v8 summer

Projecto – Construction Project & Capital Program Management

·         Installed in 2001, runs about 70 projects per year.

·         Maintains a list of all current projects, their schedules and budgets, generate reports

·         Future – upgrade to v8 this summer.

Apogee Insight – Siemens Energy Management System (EMS)

·         First building automations systems was install in 1980.  It controlled 5 buildings.

·         The system controls approximately 4000 points in 35 buildings using 91 central panels.

·         Future of the Siemens system is uncertain.  As we look to the next major upgrade in a couple years we will explore more options and vendors.

Keystone 600N – Best Key System

·         Software controls about 80% of the campus key information – door inventory, what key operates each door, list of al issued keys, who has each key or key ring.

·         Future – planning to re-key the campus soon.  A new key policy has been written and in the approval process.  Facilities is looking into alternative lock systems.

Vestas Online Business – Wind Turbine #1 software

·         Installed September 2004, hosted locally on Martha Larson’s computer

·         Monitors wind turbine data, control of the wind turbine, maintains alarm/fault logs

·         Future – currently operates via dial-up modem (software can no longer be updated), need to change to a fiber or 3G connection.

WindSCADA – Wind Turbine #2 software

·         Installed in October 2011, hosted by SQL GE server in CMC Data Center and accessed via web.

·         Monitors wind turbine data, control of the wind turbine, maintain alarm/fault logs, feeds info to Data warehouse.

Lighting Control Systems

·         Building Systems: Gould Library, Language & Dining Center, Weitz Center for Creativity

·         Future – standardize to one system, integrate into BAS/EMS.

Lucid Building Dashboard – Energy Database

·         Installed February 2012, hosted off-site, servers are tied to GE wind turbine data and Siemens BAS

·         Collect, monitor & display energy meter data (steam, natural gas, fuel oil, wind, electricity, water)

·         Future – add automated meter hookups to approximately 17 buildings for which data is currently manually entered. 

QAS Building Dashboard – QAS GreenTouch Screens

·         Installed September 2009 (may be phased out this year).

·         Collect, monitor and display energy meter data (campus utilities and Cassat and James)

·         Company has been in transition, poor customer service and stagnant development.  Replace with Lucid Dashboard.

AutoCAD Sosftware

·         Purchased in 2001.  Ability to view, edit and create floor plans

·         Future – upgrade to a newer version

Tree Inventory – Mobile Community Tree Inventory

·         2006 hired Oslund & Associates to survey and document trees on campus.

·         Data is collected identifying each tree by its assigned number, species, size, condition, etc.

·         Future plans-none at this time.  To date we have 5,613 trees identified on campus.

Space Management Database

·         In 2001 Facilities started measuring and identifying space on campus.  Student workers spent two summers measuring, identifying, and coding every room in all buildings and houses.

·         Space Management reports are pulled from Colleague through the Data Warehouse.  Floor plans are kept up to date.

·         Future plans – none at this time.

Fire Alarm Systems

·          Previous token ring connection to alarm monitoring company.  Currently individual dialers to monitoring company.  Panel updates every 10-15 years.

·         Future – tie alarm and notification to BAS (Siemens), economical connection to alarm monitoring company.

MB&A, IFP, and Go Green – Databases maintained by Sightlines

·         Measurement, Benchmarking and Analysis –operating budgets, energy cost and consumption, and staffing levels against a database of 250+ college campuses across the U.S.

·         Integrated Facilities Plan – deferred maintenance and asset condition

·         Go Green – greenhouse gas inventory data, calculate carbon emissions, report greenhouse gas emissions, identify green initiatives

ITS Technology update:

ITS is in the midst of the new Technology Request Program and Sue encouraged departments to get their requests in by the March 8th deadline.  Those requests will be gathered and then reviewed and prioritized by a new sub-committee of the program.
